Eight steps on one job

Each step names who owns it and what data carries forward. This is how a real order moves, not a CRM funnel diagram.

  1. Inquiry or lead

    Owner, sales, front office

    Capture the customer, contact, job type, quantity, and due date. Notes and email can attach here. When you are ready to price, convert the lead to a quote. The customer record carries forward so nobody retypes the company name and ship-to.

  2. Quote with real costs

    Estimator, owner

    Pull blanks from S&S, SanMar, or PromoStandards. Apply decoration matrices for screen print, embroidery, DTF, or add-ons. Overhead and fees show margin on the line before you send. Estimator owns the build; owner can review margin on big orders.

  3. Proof and approval

    Sales, art, customer

    Send a proof link. The customer approves or requests changes on the token URL. Art and revisions stay on the quote. When they approve, production sees the same specs they signed off on. No separate proof folder in email.

  4. Sales order

    Sales, owner

    Approved quotes convert to a sales order in one action. Line items, pricing, decoration, and customer details copy over. Production and billing anchor here. Invoice, work order, and board job all reference this sales order number.

  5. Production on the board

    Floor lead, production staff

    The job shows on your board, list, or machine queue. Move it through stages your shop defines: art, screens, print, embellish, ship, or install. Work orders add tasks and checklists. Floor lead assigns crew and due dates. Office watches the same status.

  6. Press run and floor time

    Press operator, floor lead

    On The Full Run, start press runs from floor mobile. Log piece counts, pauses, and issues. Track ink and materials on the job. Run time and consumables feed job costing so labor reflects the floor, not a default rate from last year.

  7. Invoice and payment

    Office, owner

    Open or create the invoice from the sales order. Send pay links or take payment through Square or Stripe. QuickBooks sync on The Full Run maps customers and payments. Office owns the step; owner can check cash against job margin.

  8. Reorder

    Customer, sales, merch program manager

    Repeat customers reorder through merch stores, portals, or a new quote with history attached. Prior decoration and garment choices sit on the customer record. The next quote starts faster because the job data never left the system.
